A spreadsheet has no memory, so the same payees come round every quarter and get coded from scratch every time. Worse, across a team one supplier can end up in three different accounts on three different clients.
Every line arrives already coded by a rule — and the rule that coded it is shown next to the result. What’s left is the genuinely new: the transfer that needs a decision, the payee nobody has seen before.

Excel doesn’t check. It just calculates.
One transposed figure and the totals stop agreeing — and a spreadsheet will calculate that quite happily, unless you built the check yourself. You find out at the worst possible moment, usually in front of the client.
Every column and every row is footed both ways before anything can leave. Where the ledger and the statement disagree, it’s flagged and the export is blocked — not buried three tabs deep for you to find later.

How the volume actually works
You don’t categorise 4,000 transactions. You categorise the patterns.
On a 4,000-line test statement with heavy payee repeat, setting 19 new client rules took the file from raw import to largely categorised in about ten minutes. Most of that time went into deciding the rules — not clicking the same supplier over and over.

A model that’s right 97% of the time still means checking 100% of the lines to find the 3% — and being unable to explain, six months later, why it decided what it decided. A rule engine doesn’t have that problem. Same statement in, same trial balance out, every time.
VAT you confirm, never assumed
Gross is split into net and VAT for registered clients — marked as assumed until you confirm it. Entrio never silently decides a VAT treatment on your behalf.
A signed-off year stays signed off
Lock a period once it’s agreed and nobody quietly edits figures a client has already seen. Roll forward into the next year from a fixed starting point.
Who changed what, and when
Every categorisation, rule change and sign-off is logged with a name and a timestamp. When a query lands six months later, the answer is already written down.

Is Entrio replacing Xero, FreeAgent, QuickBooks or Sage?
Not for clients who live in those systems day to day. Entrio is bookkeeping preparation: statements in, reviewed trial balance out. For cash-basis sole traders and other clients who will never log into cloud software, you can finish cash-basis accounts prep in Entrio and take the figures straight to Self Assessment or accounts production. Live bookkeeping, invoicing and client portals stay where they are. Direct product integrations are on the roadmap — today the handoff is a CSV or PDF export.
Can I do cash-basis accounts prep in Entrio?
Yes. Import the bank statements, categorise on firm rules, reconcile, and produce a profit and loss, balance sheet and trial balance for the tax year. That is cash-basis accounts prep for self-employed and other cash-basis clients. You still file Self Assessment and tax returns elsewhere — Entrio does not submit to HMRC.
So is this just a CSV importer?
No. CSV import is how bookkeeping gets into Entrio; it is not the product. What happens next is: categorisation on rules your firm controls, duplicate and transfer detection, VAT treatment you confirm, bank reconciliation, year-end journals when the year needs them, a review pass with every assumption visible, and a trial balance that foots both ways — plus profit & loss, balance sheet and a statement of accounts from the same figures.
Does Entrio use AI to categorise transactions?
No. Entrio is a deterministic rule engine. A transaction is categorised because a rule matched it, and the rule that matched is shown next to the result. Run the same statement twice and you get the same answer twice. If a rule is wrong you change the rule, and the change sweeps back over everything already imported.
Which banks and file types work?
CSV and Excel statements from major UK banks — including Barclays, Lloyds, NatWest, Monzo and Mettle. Entrio detects the format and maps the columns automatically. Unusual or messy exports can still be mapped by hand. PDFs are deliberately not supported: parsing them is materially less reliable, and across a year of transactions that unreliability lands in your trial balance.
What does Entrio deliberately not do?
Payroll, VAT submissions, invoicing, statutory accounts production, corporation tax computation and Companies House or HMRC filing. Entrio finishes at a reviewed trial balance and the reports that follow from it — including cash-basis accounts prep. That boundary is deliberate: a narrow tool that is right is worth more than a broad one you have to check.
Where is client data stored, and who can see it?
Client data is encrypted at rest, deletable by your firm, and never sold. Only people in your firm who you invite can access your clients. Our privacy and data page has the full detail. Read the privacy & data page.
Do I need a card for the trial?
No. Every plan starts with a 14-day free trial with no card required. A realistic sample client is waiting when you sign up, so you can see the whole workflow before any real client data goes near it.
Can several people in the firm work on the same client?
Yes. Invite your team, give them roles, and every categorisation, rule change and sign-off is logged with who did it and when. Firm rules mean a junior codes the same payee the same way a partner would.
