Bank statements to a trial balance: four tools compared.

Short answer: Entrio is the one that codes with rules you can read, not AI, so every line shows why it landed where it did. It reconciles the bank before anything exports, and the price doesn’t rise in a busy January. Choose AutoEntry if clients send scans or you need receipts captured too.

Rules, not AI

Why Entrio doesn’t let AI code your clients’ books.

You’re the one who signs off the accounts. An AI model makes a judgement it often can’t explain, which leaves you checking every line it touched. Rules you wrote don’t.

You can see why

Every coded line shows the rule that filed it. “Why is this in Travel?” has an answer on the line, not a guess.

Same transaction, same answer

A rule codes a payee the same way every month, for every client. An AI model can treat the same payee differently from one month to the next.

Fix it once, for good

Change a rule and it reapplies to everything already loaded, across every client it covers. No hoping a model learns.

And because nothing is sent to an AI model, client data is never used to train one.

Worked example

A January with 20 shoebox clients.

Each client sends twelve monthly statements of three pages, with about 50 lines each: 720 pages and 12,000 transactions in the month. Longer statements only push the per-page and per-transaction prices higher.

AutoEntry + AccountsPrep: £568.25

720 pages × 3 credits = 2,160 credits, so the 2,500-credit plan at £518.25, plus AccountsPrep at £50.

Ledger AI: £149

Standard covers 10,000 transactions for £99; the other 2,000 at 2.5p each add £50.

StatementPro: £139

The 1,200-page Firm plan. That buys converted files; the coding and trial balance happen elsewhere.

Entrio: £49

20 clients fits Solo, up to 50 clients, or £33 at the founding rate. Every statement uploaded is included, however long.

Arithmetic from published prices, not a claim about time saved. Your own page and transaction counts decide the real numbers.

FAQ

Choosing bank statement software.

Why doesn’t Entrio use AI to categorise transactions?

Because you have to be able to explain the figures you sign off. A rule always gives the same answer for the same transaction, and every line shows which rule filed it, so you can check it, change it and defend it. An AI model makes a judgement it often can’t explain, and can treat the same payee differently from one month to the next. For a trial balance with your name on it, we think readable rules are the safer choice.

Which is cheapest for a busy year-end?

It depends on pages and transactions, not just clients. Tools priced per page, per credit or per transaction cost more as statements get longer and clients send more months. Entrio is priced by the number of clients with unlimited uploads, so a long statement costs the same as a short one. The worked example shows the arithmetic, with the assumptions stated.

Does Entrio read PDF bank statements?

Yes: digital PDFs downloaded from online banking for Barclays, Chase, Lloyds, Mettle, Monzo and Revolut, and only when every row agrees with the balances printed on the statement. CSV and Excel exports work from any UK bank. Scans and photos are refused rather than guessed at. If your bank’s PDF isn’t read yet, send it from the app and we’ll usually add the bank within two working days.

When is something else the better choice?

If clients send scans or paper statements, or you need invoices and receipts captured too, AutoEntry with AccountsPrep covers that and Entrio doesn’t. If you only need clean files to code elsewhere, a converter is enough.
