Firm-wide bookkeeping knowledge

Accounting software thinks in businesses. Entrio thinks in practices.

The same payees and the same judgements come round again and again across a book. Entrio turns that into rules your firm owns — so juniors code the way seniors would, and every engagement makes the next one faster.

Entrio doesn’t replace your accounting software. It replaces the hours before you open it.

Three tiers

One senior’s judgement, applied by everyone.

Built-in standards, firm policy, client exceptions — in that priority order.

Wins Client rulesWhere this one client genuinely differs The exception is recorded, not remembered — so it survives the person who knew about it.
Then Firm rulesYour house view, across every client One senior’s judgement, applied by everyone, on every job, without anyone being asked.
Then Built-in rules147 UK-standard treatments, ready on day one A new firm is productive before writing a single rule — and can override any of them.

Client beats firm beats built-in. Write a new rule and it sweeps back over everything already imported.

How the volume actually works

You don’t categorise 4,000 transactions. You categorise the patterns.

On a 4,000-line test statement with heavy payee repeat, setting 19 new client rules took the file from raw import to largely categorised in about ten minutes. Most of that time went into deciding the rules — not clicking the same supplier over and over.

Real client work varies: unique lines still need a human, and review still belongs to you. The point is the shape of the job — write the rule once, apply it to every matching line, then review the exceptions.

Every bookkeeping engagement makes the next one faster.

Bookkeeping knowledge usually lives in three bad places: a spreadsheet on someone’s desktop, one client’s ledger, or one experienced employee’s head. All three walk out of the door eventually. In Entrio it becomes part of how the firm works — so when someone leaves, their judgement stays.

Where Entrio fits

Rules prepare the year. Accounting software still holds it.

Entrio is the preparation layer: statements in, review-ready trial balance out. Xero, FreeAgent, Sage and accounts production stay where the finished work lives.

FAQ

Questions about firm rules.

How is this different from Xero bank rules?

Xero rules live inside one organisation’s ledger and are built for a business keeping up transaction by transaction. Entrio rules are designed for a practice: built-in UK treatments, firm house rules that apply across every client, and client exceptions where one client genuinely differs. Write a rule once and it can sweep back over history already imported.

Who wins when rules conflict?

Client beats firm beats built-in. The exception is recorded on the client, not remembered in someone’s head. Every categorisation shows which tier produced it, so a reviewer can see why a line landed where it did.

Is categorisation AI?

No. Entrio is a deterministic rule engine. Same statement in, same result out. There is no model to retrain, no confidence score to second-guess, and nothing that changes because the model had a different view this week.

Do rules apply retrospectively?

Yes. When you save a new rule it can sweep back over transactions already imported. That is the difference between coding month twelve and redoing the whole year by hand.

What about payees that only appear once?

Those stay in review — that is the point of a review inbox. Rules collapse the repetition; unique lines still need judgement. You do not pretend a one-off is a policy.

Does Entrio replace accounting software rules?

No. Entrio doesn’t replace your accounting software. It replaces the hours before you open it. Firm rules here prepare the trial balance and cash-basis accounts prep; ongoing bank rules in Xero or FreeAgent still belong there if you keep the live books there.

Proof, not promises

We can’t show you a case study yet. We can show you the arithmetic.

No case studies yet — we’re taking our first firms now. What we can do is let you check the arithmetic, which is the only claim that matters here anyway.

Reconciliation checked against FreeAgent A real company’s year was prepared in Entrio, then compared line by line with the same year in FreeAgent. Once four accruals were posted, the figures agreed exactly. Read the methodology note →
147 built-in UK rules Plus an 87-account UK chart of accounts. You’re categorising real transactions before you’ve written a rule of your own — and you can override every one of them.
The trial balance on this page It isn’t a picture. It’s computed from the demo ledger on every page load, and a test fails the build if it stops footing. Add the columns up yourself.

We’d rather show you a reconciliation you can pick apart than a testimonial you can’t check.
