Guides · PDF into Xero

How to import a PDF bank statement into Xero in the UK.

Short answer: you can’t import the PDF itself. Xero’s statement import takes CSV, OFX, QFX or QBO files. Convert the PDF to a CSV, check the rows add up to the statement’s balances, then import the CSV.

Why the PDF won’t go in

Xero reads data files, and a PDF is a picture of one.

A PDF statement is laid out for people to read, not for software to import. Xero has built PDF conversion into Hubdoc, but it has only launched in the US and Canada so far, and UK users are still asking for it on Xero’s own ideas forum.

Three ways in

Best first, slowest last.

1. Ask for a CSV or OFX export

If the period is still available in online banking, an export imports directly with nothing to convert. Our CSV vs Excel guide covers what to ask a client for.

2. Convert the PDF, then check it

Convert the statement to a CSV, or a file laid out for Xero’s import, and check the rows against the balances printed on the statement before importing. The free converter does both, for PDFs from Barclays, Chase, Lloyds, Mettle, Monzo and Revolut.

3. Retype it

Fine for a handful of lines. For a month of transactions it’s slow, and a transposed figure won’t show until the bank doesn’t reconcile.

Before you import

Three checks that save an afternoon.

It adds up

The converted rows should take the opening balance to the closing balance printed on the statement, to the penny. If they don’t, a line has been missed or misread.

The dates read the UK way

05/01/2026 should mean 5 January. A file that has passed through a US-formatted spreadsheet can quietly move transactions between months without any error.

It doesn’t overlap the bank feed

If the account already has a bank feed, only import the dates the feed hasn’t brought in. Otherwise the same transactions land twice.

FAQ

PDF statements and Xero.

Can Xero import a PDF bank statement in the UK?

No. Xero’s Import a statement option takes structured files such as CSV, OFX, QFX and QBO, not PDFs. Xero’s own PDF statement conversion through Hubdoc has so far only launched in the US and Canada, which is why UK users keep asking for it on Xero’s product ideas forum.

What’s the quickest way round it?

Ask for a CSV or OFX export from online banking if the period is still downloadable, because that imports directly. If all you have is the PDF, convert it to a CSV first, check the converted rows add up to the statement’s balances, then import the CSV.

Which PDF statements can Entrio’s free converter read?

PDF statements downloaded from online banking for Barclays, Chase, Lloyds, Mettle, Monzo and Revolut. Scans and photos are refused rather than guessed at. CSV and Excel exports from any UK bank work too. It can output a file laid out for Xero’s bank statement import, and nothing you upload is stored.

How do I know the converted file is right?

Check it against the statement’s own numbers before importing. The converter does this for you: running balances, the closing balance and the statement totals all have to agree to the penny, or it tells you the statement doesn’t add up instead of producing a file.

Will importing duplicate transactions from my bank feed?

It can if the dates overlap. If the account already has a bank feed, check which period the feed has brought in and only import the dates it doesn’t cover. Removing duplicates after the fact is slower than checking first.

I have a whole year of PDFs for a client. Is there a faster way?

Converting statement by statement works for one or two. For a year of statements across several accounts, Entrio imports them all at once, files each row on your firm’s rules, reconciles to the bank and produces a trial balance before anything goes near your accounting software.
